Events Operation Management Charitable and Fund Raising

Question: o Examine the licenses and requirements for various types of events; o Discuss the techniques for analyzing events and management; o Applying business management theory to practical experiences within the events industry, o Explore the different issues an events organisation could have whilst using statistical methods and techniques to formulate a solution; Answer: Introduction Objective Charitable and fund raising events in United Kingdom are very common, and these events unlike any other events contribute largely to the society. The objective of the charitable event that is being organized is to raise fund for the children in need ("BBC Children In Need 2015"). Sponsors The new startup companies and other small companies need to be attracted for organizing the event. The sponsors could easily receive their potential customers from this particular event. Schedule The event will be organized in the month of June, in the year 2016. The indoor event will occur from 10 am to 5 pm, and the outdoor event will occur from 5 pm to 10 pm. The events, whether indoor and outdoor, always have certain risk associated with it. It is advisable that the event manager is aware of those risks and accordingly they should be preparing for it. The report here discusses about those risks as well, and tries to identify the kinds of risks these events could face. Along with mentioning the risks, the report here also provides recommendations, so that the risks those are being faced and handled properly. The report not only has a discussion of the operational risks but at the same time it discuss about the operational issues as well. Reflective Discussion I have always loved my life as a child because the days of my childhood are the most pleasant days in my life. I want to get back those days because I think that being a child is the best thing that has happened in my life. The childhood days, I agree is the best days of my life, but then there are few children who are not as happy as I am. I know a child, who is suffering from deadly disease like brain tumor. I just want that he had a day with his friend where he is all soaked in mud, and he enjoys the best time of his life. The problems with my dreams are that they are good but without proper support, I cannot fulfill my dreams. I know it is not only me but there are several other people who also want to change the life of these children, only I have to get in touch with these people. Therefore, I have decided to organize a charitable event where I will get connected with these people and will try change the life of the children, who are in need. The children in need, requires both the financial as well as the emotional support of the people like us. The event that has been organized by me is a charity event; and a charity event like any other events requires lots of planning. I want that the charity event that I have organized become a big success. Therefore, I have prepared a committee that will help me in planning the event. The committee should not contain more than 5 to 10 members, and they will allocate task to different people. The members of the community will make sure that they have sponsors who will provide funds and other facilities to the event. Apart from that, the committee should carry out the task of selling the tickets as well. The committee should also do other things like the catering services, and the management of the websites. It is true that the childhood days are the most important days of our life and therefore, as children every one of us should live a quality life. Living a quality life, although, is not something, to which only the children have rights but at the same time, each citizen have a right to live a quality life. In my country, only I find many people living a tough life due to various reasons. There are women and children in my country who suffers from domestic violence. If I take an initiative of organizing a charitable event and rising fund for them then I could help the Domestic Violence Centre. The centers could set up Helpline numbers easily and this could help the women and children a lot. The location is the most important thing in an event. Therefore, it is important that in case of choosing the venue, things be given the utmost importance. The indoor and the outdoor venues are selected to conduct this particular event. The venues represent the types of event that is being organized. The event that I am organizing for children in need will be held during the month of April. Indoor Venue The event that is being organized is a charitable event that will include the auction of historical artifacts. Along with the auction of the historical artifacts, there will be a dinner part for the guests. The tickets that will be distributed among the guests will collect the money, which will help in meeting the cost. The auctions of the goods too will help in collecting money for the cause. The event location therefore plays a very important role. The location that is being selected in this case is the Kings Place. After a long time, the Kings Place was again reopened in the year 2008. It is the first place that provides the guests to use the 1 GB internet facility. The venue also has facility of HD streaming and both these technologies could be used during the time of auction. The goods that will be there in the auction will be projected with the help of the 1 GB internet and the HD streaming facility (Rbkc.gov.uk 2016). The venue has a Hall 1 auditorium, which is equipped with the top specs, which include holding a capacity of 420 people in the auditorium. The auditorium is also equipped with those acoustics that are pitch-perfect. Therefore, at the time of presentation of those goods that will be auctioned, the voice of the speaker will be clear and distinct. The people who will be invited for the lunch/dinner will not only have to be part of the auction but at the same time, there will be a relishing lunch/dinner for them as well. The lunch/dinner will be held in the Gallery room. The particular room has not only a modern design but at the same time, it also has a sleek design as well. The Gallery room could accommodate around 40 people in that particular place. The people who will be there in the event could also have the view of the Regents Canal. There is Battlebridge Room is the room from where the people could have a view of the Regents Canal (Rbkc.gov.uk 2016). The time, when the event will be held is the month of April and during this time; people need some kind of summer entertainment, which would refresh them. The summer entertainment will be provided to the guests of these events as well. The Kings Place is the place that has a large terrace, which will help in summer entertainment. There is also an art gallery in the venue, which will be providing the guests with some leisure moments. There will be people of all the ages and of different sex in the event. The venue therefore, will not all entertain all the people but at the same time will also serve the purpose of the event as well. The Kensington Gardens, within its parameter have the Italian Garden, Albert Memorial Hall, Peter pan Statue and the Serpentine Galleries. The different kinds of activities that are being organized for the event could be carried out easily within the parameter of the Garden. The Royal Albert Hall is situated just opposite the Albert Memorial Monument, which is one of the most ornate monuments in London. It is built in the memory of Prince Albert who died in the year 1861 in typhoid. The Albert Memorial is the monument that four marble structure; which represents four different continents. The four different continents are Asia, Europe, Africa and America (The Royal Parks 2016). The children who will be there in the Garden should also have the opportunity to get entertained. The Kensington Park, within its parameter has the Diana, Princess of Wales Memorial Playground, and a perfect place where the children could play and enjoy. There will be people of all the age and sex and culture, therefore, there is a need of the playground so that there is no problem in entertaining the children. The park contains various kinds of rides to amuse the children and provide them with a fun time. There are restaurants located near the parameters of the venue, and these restaurants could be reserved and could be used to serve the dinner to the guests. The park could be utilized for organizing sports events like the Red Nose Day that is celebrated in United Kingdom, since 1988. The particular area could be used to organize this particular event. The Red Nose Day will bring in lots of fun to the life of the people and at the same time, it will help in the fundraising campaign as well. The funds could be utilized to help the Domestic Violence centers in the country. In the event if alcohols are being sold to the guests for the charitable purpose then license is required for that. License is also required in case of serving hot foods and beverages inside the indoor area. The furniture that is being used in the venue could injure the elderly people who are there in the venue and at the same time to the children as well. If the furniture is damage, then the owner of the venue could take a legal action against it and then it would be a possible risk for the event manager or the organizer. Venue 2 Since, the event will be held in the open area, especially in a park, therefore, according to the Regulation Act 2003, the organizer of the program need to have a license for organizing it. If there are losses of either an object or a person, then the families could take a legal action against the organizer, which again will be a possible risk for the organizers. (Ahmad, Rashid, Razak, Yusof and Shah 2013). Risk Management The unforeseen negative events could affect any event organized by the event management companies. The unforeseen events are being recognized as the risk. The risk management in any organization is required to avoid these unforeseen events. Venue 1 The event in an indoor space is often prone to danger like fires. The fire can be there due to the electrical short circuits. If the cooking of the food, is being done inside the venue then also it could at times set the venue in fire. Venue 2 The outdoor venue is prone to different kinds of risks, which include, risk related to being hurt by the outdoor rides that are there in the park. If there are any kinds of rocks and stones on the grounds of the park then it may hurt the elderly people as well. Health and Safety The management of the health and safety is required for the protection of the health, safety and welfare of the people attending the event that is being organized. Venue 1 If the floors of the auditorium or in anywhere else contain water and if it is near any electrical equipment then it could create danger. The water on the floor could not only be an accident if there are electrical wires but at the same time, it is a risk for the children as well. The children and even the elderly people could be severely injured by the water on the floor and thus it is a risk for the people attending the event. Venue 2 The forks and the knives that will use in the venue, especially at the time of dinner, could also injure the elderly people as well as the children. There are times, when there are ropes and stakes inside the venue for various reasons and these could be reason, behind the injuries that the elderly people and the children could have in an indoor area. Supply Chain Management Venue 1 The operational risks that are associated with any indoor venues include, the risk associated with power. The whole event will not be conducted easily if there are problems related to power. If there is a problem in power supply then it could create disruption, as a result the whole event could turn as a failure. The risk related to catering services should also be taken great care, since the forks and the knives that are used in the event could give rise to lots of risks. Venue 2 If the security system of the event is not up-to-the-mark then there can be vandals inside the park, causing chaos and vandalism. If there is an absence of strong security system then lots of crime could take place inside the venue. Waste Management Venue 1 If there are wastes on the floor then there can be many unintentional accidents, which could be the causes of injuries. Moreover, if the waste management is not done properly then it may affect the health of the individual as well. The result of improper waste management could affect the health of the people or the guests, who are invited in the venue. Venue 2 The litters and the wastes, if there are spread here and there then that could lead to the different kinds of accidents. The accidents from the eyes of the viewers are nothing more than an amusement; but in reality, these accidents turn out to be fatal. Therefore, in an outdoor venue, the wastes could also create accidents and therefore the venues are prone to risk. Moreover, in case of an outdoor venue there are chances of loss of object as well as loss of human beings. The venue will have children, who in an open space would like to enjoy the environment in their own way. The desire of living the moment in their own way could create a risk because they might even get lost. The loss of the human beings can either be intentional or it can be unintentional. It does not matter whether it is intentional or not, the loss is after all, related to a risk. CSR and Sustainability Venue 1 The water that are used in the venues, at times contain harmful elements like lead, which is not only dangerous, rather they are poisonous for the health of the people. Therefore, it is again a risk that could create problem for the people who are invited as a guest for the event. The queues that are there in the event venues, for the tickets at times could become chaotic thus creating not only chaos but at the same time other kinds of risks as well. If the crowd that is there creates, problem then that could create risks like injuries (Ferdinand and Kitchin 2012). Venue 2 The outdoor venues that are being selected for an event is also associated with varied kinds of risks as well. The event will contain various kinds of people, and therefore, it can be assumed that there will be people who smoke. If there are people who smoke but not careful about the un-burnt last piece of the cigarette then it could create problems like fire as well. Thus, the use of the cigarette could also bring in great danger and great risk. Recommendation There should be the presence of the fire fighting equipments like the fire extinguisher. Apart from that, the people organizing the event should be capable of the fire fighting drill. There should be double insulated wire for the electrical appliances. The floors of the venue should wipe properly and should be kept dry. The organizer should have the emergency numbers like the numbers of the ambulance, so that they can seek help any time. The organizer should also have the first aid with them, so that in case of first hand injury they could handle the situation on their own. The security system of the event should be strong, so that the trespasser or the intruders do not get a chance to get in. There should be a Smoking area, a separate one, where the people could smoke and apart from that area they should not be given the permission to smoke. There should be proper waste bins, where the waste should be dispose properly. The rides of the amusement park should be checked properly. If the rides are checked properly then the organizer will know about the safety measures taken by the authorities of the park. The action will decrease the amount of risk and the danger that is associated with it. The tickets should be sold before the event has occurred, at least a week ago. Therefore, on the day of the event there will not be a big queue, which would not be a big crowd to create problem. Comparison The two venues are apt for the two different kinds of events that will be carried out. In case of making comparison although, the indoor venue is considered as little better than the outdoor venue, because of its location near the river, which provides the guest with a beautiful view. Moreover, the particular venue also helps in providing the guests with beautiful HD streaming quality that most of the audience wants to enjoy. The lunch area is also big and at the same time cozy, thus people can enjoy lunch easily there. Thus, it can be said that the indoor venue, that is the Kings Palace, is the best venue for organizing this event. The venue serves the purpose of organizing an auction inside the auditorium easily with all its equipments. Conclusion The events that an event manager organizes can be of various kinds, it can be either a sports event or a musical one. The event that is being organized for a cause is different from any other event. The charitable event helps to fulfill the dreams of those, who alone could not fulfill their own dream. In this report one such need is given importance. The execution of any event could be possible if there is a proper plan. The plan should not only contain information about how and why the event is being organized, but at the same time, it contains much other information as well. The venue or the location is important in case of any event and therefore, this report gives importance to the venue. Apart from the venues, another thing that is being given importance is the operational risks. It is important to identify the operational risks, since it will help in coming up with a solution.
